Pathology and Laboratory Records for a Review in China

Confirm the receiving department’s requirements before arranging records, translations or material transfer.

By AccessChinaMed coordination team · Updated . Practical coordination guidance; medical assessment remains with the treating healthcare provider.

Quick answer: Ask the receiving clinical department what it needs before arranging a pathology or laboratory review. A written report, an imaging file and pathology material are different items. Keep complete original records, confirm identifiers and arrange the clinical interpretation separately from translation or delivery.

Clarify the type of review

A specialist consultation about a pathology result is different from another pathologist examining the original material. The National Cancer Institute’s pathology guidance explains that a second pathology opinion may require slides or a paraffin block. Ask the receiving department which service it offers and what is required for acceptance.

AccessChinaMed can help communicate an appointment or document request within an agreed scope. It is not a laboratory, does not handle diagnostic assessment and does not provide specimen carriage. Do not send material to a general enquiry address or assume a consultation booking authorises a shipment.

Obtain the receiving department’s checklist

  • The review requested and the clinician or department accepting it.
  • The complete original report and any addenda it requires.
  • The precise material, format and identifiers it requests.
  • The sender’s release process and any required authorisation.
  • The fees, expected timing and arrangements for returning material where applicable.

Keep a record of who confirms each requirement. If an item cannot be supplied, ask the receiving clinical team whether the review can proceed or needs a different scope. Do not reconstruct a missing clinical report or relabel specimens yourself.

Confirm transfer requirements before movement

Acceptance by a clinician does not settle transport arrangements. The sending and receiving institutions, carrier and relevant authorities need to confirm requirements for the actual material and route. Ask those parties about handling, documentation and custody before anything is carried or shipped. This guide does not establish permission for cross-border specimen transport.

Keep the document and material tracking records separate from public examples. Identity and medical details should be shared only through the agreed private process with verified recipients.

Preserve laboratory units and reference intervals

MedlinePlus explains that laboratories may use different methods and reference ranges, and an out-of-range result alone does not establish a diagnosis. Give the reviewing clinician the complete reports rather than selected numbers stripped of their context.

Retain the specimen date, report date, issuing laboratory, units and reference intervals. If you create an index, link each entry to its original file. A comparison table can help locate documents, but it should not convert values or draw a medical conclusion without the clinician’s review.

Track incomplete and corrected findings

Ask which parts of a report are final and whether anything remains pending. Record the expected update date and issuing contact. If a correction is necessary, request a revised document from the provider and keep its relationship to the earlier version clear. Translation should reflect the authorised record, not repair it independently.

Finally, agree who will explain the results and what happens if an additional review is recommended after you leave China. Delivery, translation and clinical interpretation are separate tasks. Review the second-opinion records checklist, follow-up guide and visit document checklist.

Common questions

Does this guide confirm that a hospital accepts my specimen?

No. Obtain acceptance and instructions from the actual receiving department before arranging any release or transport.

Can laboratory values be interpreted by the coordination team?

No. A clinician interprets the results. Coordination can help obtain complete records and arrange the appropriate review.
