Medical Visit Documents: Quotes, Confirmations and Reports

Know what each document confirms, when to expect it and which details to check before, during and after your visit.

Quick answer: Your quotation, appointment confirmation, payment record and medical report serve different purposes. Keep them separately and check what each actually confirms. AccessChinaMed helps coordinate the agreed visit and record handover; the hospital issues clinical records. Sample documents demonstrate a format, while your own confirmed arrangement determines the scope, charges and delivery.

Our specialist health-screening platform, MyChinaCheckup, shows the booking process and sample document formats, including a quote, booking and payment request, historical invoice, on-site confirmation and paired report excerpt. These samples explain what to look for in a health-check journey. They are not proof that your visit is booked, and they do not establish the price or terms of a separate AccessChinaMed specialist appointment.

Historical examples retain their original context and issuer. A sample does not establish the current contracting entity or payment recipient for your arrangement; check those on your own quotation and service documents.

A quotation is not a hospital confirmation

A useful quotation lists accepted services and exclusions instead of a general promise to arrange everything. Check whether the amount is per person, whether each person has the same examination list and whether additional departments, translation, transport or repeat visits are included. Ask for written clarification before accepting an unclear line.

The appointment stage should identify the actual campus and department, rather than just a hospital group name. Keep the final date and arrival instructions available offline when travelling. If a booking detail changes, request an updated confirmation instead of relying on an old message.

Payment records and insurance paperwork

A payment request tells you what is due; a receipt records payment; an invoice identifies the issuing entity and charges. A quotation alone does not prove payment. Ask what documentation the hospital and the coordinating service can each issue, and check your insurer’s own requirements before assuming reimbursement or direct billing.

Ordinary confirmed health-check packages are paid after arrival in China and before the first examination. Any hospital-required advance payment is explained before confirmation. Standalone consultations, diagnostic examinations and treatment follow their own written arrangements. Read the payment checklist.

Report and imaging handover

Agree the delivery contact, expected release date, language and files before leaving. For a confirmed check-up package, the hospital-issued Chinese report and complete English translation are delivered within 3–5 working days after all listed package examinations are completed. A scan, pathology report, specialist letter or treatment record may follow a different timetable.

Where imaging is requested, confirm whether DICOM files can be supplied, how to access them, any expiry date and the charge, if applicable. A written report, screenshot and original imaging dataset are different records. If a report is missing a page or an agreed translation, contact the named coordinator. Clinical findings and next-step care should be discussed with the treating clinician.

Keep private material out of the first enquiry

Begin with a general request and travel timing. We explain later which booking or medical records are needed and agree an appropriate channel. Do not upload passports, payment-card details or a full medical history just to ask about availability. Public stories and samples must be kept separate from the private documents for your booking.

Questions about visit documents

Does a sample invoice prove my payment?

No. Your payment needs its own record from the correct recipient. A sample is only a format example.

Is a translated report a medical interpretation?

No. Translation communicates the report’s content. A healthcare professional provides clinical interpretation and treatment advice.

Can I receive records after leaving China?

Ask for electronic delivery, the expected release date and the contact responsible before departure. Access and translation depend on the agreed scope.

Are document arrangements identical for every service?

No. A check-up package, standalone scan and specialist consultation may have different issuers, timelines and inclusions. Confirm the arrangement for your selected service.
